Reports To: Mill Manager

About The Mill

The Mill is a woman-owned circular sawmill located in the heart of the Colorado Rockies. We proudly source our timber from local fire mitigation and watershed projects, producing high-quality, sustainably harvested lumber for builders, architects, and homeowners across the state.

With a 20+ year legacy and a renewed focus on Colorado-grown timber, we are expanding operations and building a strong administrative foundation to support our growth.

Position Overview

The Office & Yard Coordinator plays a critical role in keeping daily operations organized, efficient, and customer focused. This position serves as the communication hub of the office, supporting customers, managing orders and payments, coordinating deliveries, overseeing marketing materials and social media, and maintaining a professional workspace.

The ideal candidate is proactive, detail-oriented, customer-service driven, and able to prioritize tasks that directly support revenue and smooth operations.

Key Responsibilities

Customer Service & Order Support

  • Assist walk-in customers and customers picking up orders
  • Facilitate new and existing customer relationships
  • Prioritize tasks that directly support customer orders
  • Provide same-day estimates and respond to customer emails or phone inquiries within the same day
  • Answer and manage incoming phone calls and emails professionally

Payments & Order Processing

  • Receive and process customer payments
  • Manage mill orders accurately and efficiently
  • Schedule deliveries and coordinate logistics

Vendor & Relationship Management

  • Maintain strong vendor relationships
  • Support ongoing communication with suppliers and partners

Office Operations

  • Monitor office supplies and replenish as needed
  • Keep the office clean, organized, and functional
  • Repair or replace broken or missing items promptly
  • Maintain shared spaces (bathroom/breakroom) to company standards

Reporting & Administration

  • Provide timely reporting to the Mill Manager and CEO
  • Maintain a daily job journal documenting key activities and priorities
  • Support operational tasks that keep the office running smoothly

Marketing & Social

  • Manage company social media accounts and meet monthly engagement and growth targets
  • Create marketing materials and client-facing email campaigns
  • Maintain and update the marketing and sales CRM with accurate client and lead data
  • Collaborate with leadership on quarterly marketing strategies and execute campaigns effectively

Professional Standards

  • Wear company uniform when available
  • Perform other duties as assigned to support team operations as necessary

Qualifications

  • 3+ years of experience in office administration, customer support, and/or operations coordination
  • Strong organizational, prioritization, and time-management skills
  • Excellent customer service and strong written and verbal communication
  • Experience with Google Workspace, Microsoft Office, Quickbooks, Meta Business Suite, and Canva.
  • Reliable, detail-oriented, and self-motivated
  • Ability to lift up to 25 lbs and perform light physical tasks as needed
