Job Description

The Assistant Guest Registration Director supports the operations of the Guest Services Department at YMCA of the Rockies – Snow Mountain Ranch, a year-round family resort, conference center, and residential camp serving more than 50,000 guests annually.

This position oversees daily operations within Guest Registration, including Front Desk, Switchboard, Campgrounds, and Night Audit functions, with a strong focus on delivering exceptional guest experiences.

The role provides leadership, supervision, training, and support to year-round staff, seasonal employees, volunteers, and interns. It also ensures the accuracy of guest records, financial transactions, and operational processes while supporting departmental planning and continuous improvement efforts.

Key Responsibilities

Leadership and Team Management

Lead, coach, and supervise Guest Registration teams, including front desk, campground, switchboard, and night audit staff. Provide day-to-day operational oversight and hands-on support as needed. Address guest and staff concerns and escalate issues when appropriate. Foster a service-driven, collaborative team culture.

Hiring, Training, and Staff Development

Recruit, hire, onboard, and train year-round and seasonal employees, volunteers, and interns. Conduct performance evaluations and support ongoing staff development. Maintain and improve training programs, materials, and service standards. Oversee hospitality internship and international training programs.

Guest Services Operations

Manage daily guest registration operations, staffing schedules, and labor targets. Oversee reservations, lodging inventory, campground operations, and VIP/donor guest experiences. Collaborate with other departments to improve service delivery and operational efficiency. Support departmental budgeting and purchasing processes.

Systems and Communication

Maintain and utilize property management systems and reporting tools. Train staff on software systems and ensure effective system usage across teams. Develop and maintain operational documentation and guest service materials. Communicate clearly and professionally across departments in a fast-paced environment.

Financial and Business Office Support

Oversee cash handling, deposits, billing resolution, and invoice processing. Manage POS transactions, reconciliations, and financial reporting accuracy. Support accounts payable and credit card reconciliation processes. Assist with income audit procedures and banking liaison functions.

Night Audit and Compliance

Support Night Audit operations, scheduling, training, and issue resolution. Ensure accuracy of daily revenue audits and financial reconciliations. Oversee incident reporting and compliance procedures. Provide backup coverage for Night Audit operations as needed.

Qualifications

Bachelor’s degree in Hospitality Management, Business Administration, or related field preferred. Minimum of 4 years of management experience, preferably in hospitality or guest services. Strong leadership, coaching, and staff development skills. Excellent organizational and time management abilities. Strong written and verbal communication skills. Proficiency in Microsoft Office and ability to learn new software systems quickly. Ability to multitask in a fast-paced, high-volume environment. Valid U.S. driver’s license with acceptable driving record. Ability to work a flexible schedule including evenings, weekends, holidays, and occasional night shifts.

Physical Requirements

Ability to stand, sit, and move throughout large property areas for extended periods. Ability to work in a variety of indoor and outdoor environments. Ability to perform tasks requiring extended computer use and administrative work. Ability to lift and carry up to moderate weights as needed for operational support.
